There have been a lot of changes over the past month, and almost all of them are outstanding. I am very happy to announce that the pool is now OPEN, and the new flagstone looks great. The palapas are being assembled and will be installed in the next few weeks. The Nenes that were nesting at the lower pool have finally hatched, and here are the two newest residents to HBR: Moki & Kolohe, and yes they are current on their dues.
Also new to the resort is shifts in the staff. John Mahoney will now be focusing on the VOA room renovations as project manager, and we are very pleased to have hired Jim Braman back to our Ohana as assistant manager. The only sad note we have is that Loring Rowe in our maintenance staff is moving to Oahu; we wish him all the best.
I want to alert all the owners of the upcoming solar roof schedule. Please be aware that this will be going on for the first half of 2012; however, we will have solar on the roofs before the year is out. We will post all changes in the schedules on the website as soon as they happen. We have received the new front desk, and are working on revamping the front desk area. We currently have temporary Wi-Fi at the front desk area, and have put out a computer for guest use. We ask guests to limit use to 15 minutes. The new LED lights for the parking lot have been installed, and really light up the lot.
Another note for all the owners: Tropical Grill has been moved from the cave/tent poolside to the tennis shop area, so please head over there and get a burger from Jon.
The first phase of the roofing project is to begin in early February. This is the phase where we replace
the roofs that will be under the solar collectors. It is
to be completed by May 15, 2012. The solar project will pay for most of this phase with its savings. At this time, we will only be replacing the sun-facing side of the roof, which is where the solar installation will be, and we are only replacing those roofs that will have solar collectors installed on them. This is not the most efficient approach, but it does meet our current financial means until we know the extent of any cost to us from the fire damage.
The roofing plan has been broken down to zones, with the buildings numbered, and an ESTIMATE of what dates these roofs would be done. Right now, this is an ESTIMATE to change based on when the materials arrive from the mainland. If they arrive sooner, we will be starting sooner; if they arrive a bit later, then we will start later. The plan is to commence with the buildings farthest away from the parking lots because they are going to take the most time to complete due to the distance for the supplies. This way, the upper campus is much easier to manage and can be done and completed with extra workers if needed.

I hope everyone is getting ready for the holidays! It is rainy here, which has unfortunately slowed down the pool flagstone project. Each day the team begins to move forward, then the rain comes and washes away 50% of their work! They did manage to get the faux rocks around the pool and the hot tub stained to look like lava rock, and what a difference it makes. They have also repaired all the spalling concerns, as well as fixed all the electrical problems discovered after the flagstone had been removed. We are hoping to get the hot tub up first, then follow with the pool, but please keep in mind a few things: it all depends on the weather, and it is going to take some time to fill the pool. It is 300,000 gallons of water, and we used all our fire privileges for water during the fire, so we appreciate your patience. The new permanent palapas are set to arrive sometime this month, and will be installed around the upper pool when the flagstone project is completed.
The solar project is moving along nicely, with the roofing project bids coming in from some good local vendors. Also, the new electric golf carts have arrived, which will deter some noise around the property. The barn in the back has been completely removed, adding a few more parking spaces.
The VOA room renovation project is moving full steam ahead. Lillian and John are working on the schedules, and hope to have them completed by end of the year. Also, we now have a link to the most updated images of the remodeled units at http://encoremobile.net/hbrcondo. When going to the site, the 1-bedroom pictures do not “move” as much as the 2-bedroom units due to the turn radius, but they will move by placing the cursor on the sides of the photos. We hope you like them.
The housekeeping department will be moving back to the housekeeping building permanently, saving thousands from outsourcing the washing of the linen, so Mahalo’s to the entire housekeeping department. Nice work, Annabelle!!
Even with all the resort has been through this year, the staff has still done a great job of getting the resort ready for the holidays. They’ve hung up all of the Christmas decorations around the front desk area, and have placed icicle lights at the front. The front desk landscape has become very festive with some changes from Colleen, and the kids from Hanalei School, who came by to decorate our Christmas tree again this year. We would like to thank all the owners who sent us ornaments for our tree — they all look great. This year, we reached out to local vendors and received enough donated items so every employee will receive something this year. Most of all, we would like to thank all of you for your continued support.

- We installed a new auto fill valve at inlet at the spa, and raised access tube to new floor level.

Hope all is well. Let’s start with the pool project. The renovation of the pool flagstone of the upper pool has been delayed due to poor weather conditions and finding spalling damage upon the draining of the pool. These spalling concerns were found after the pool had been drained, and could not be seen with the pool full. The board has already authorized the repair of the work, and they are already started the treatment and repair of the damaged areas. These areas of repair are something that needs to be taken care of for the safety of our guests, and needs to be fixed properly while the pool is down. Currently, the hot tub has a sink hole area repaired as well, but we are trying to get the pool open by mid-December (WEATHER PERMITTING!).
The contractor has been working as much as possible in the rain, utilizing tents and bringing more staff to help get the pool up and running. We apologize for the inconvenience, but these unexpected repairs are things that need to be done correctly, in order to ensure a longer life for our pool and the safety for our guests.
Also around the pool area, the grounds crew cut back all the overgrowth in all the faux rock areas for staining, and will be planting new plants to give these areas a more polished look. We are also adding an extra step in the hot tub. Dan and his team are also taking this time to install a new shower system and address preventive plumbing issues for the hot tub. Currently, we are hoping to have the entire project completed by Christmas (WEATHER PERMITTING!). That would be a nice gift!
The demolition of the Bali Hai restaurant and front desk area is about three-fourths of the way complete. The Bali Hai roof came down in only five days; the lobby roof is down as of December 1st. The temporary front desk is being built, and the flooring has been constructed to support that area. We are working on a new fire alarm system and phone systems for the resort to replace the ones destroyed in the fire. Housekeeping has done a great job of relocating to a temporary building as they wait for the main construction to start. Grounds staff are relocating a lot of the front plants to other areas on the resort.
As we gear up for the holidays, we are inviting owners at HBR to send us a Christmas ornament/decoration to hang on our tree this holiday season. The resort will once again have the kids from Hanalei School decorating the tree, and it would be nice to see some items from you. If you would like to send some ornaments, make sure they are properly packaged to prevent damage, and mail them to the resort, to the attention of: Lillian Watari.

The work has been completed on the very first phase of the demolition project, and the next one has already begun. The cranes will be moved onto the resort sometime in the 3rd week of October, with a planned start date the following week. A fence is being built around the garbage area to hide that unsightly area.
The AOAO and the VOA boards met to complete the budgets for the upcoming year, and to approve some repair items. The AOAO has approved a new sign for the front area. It will be relocated to the center of the turnaround in the street to help lost guests. They also approved to install new LED parking lot lights for the front lot, to replace the broken ones and to help reduce the electricity costs. They also gave their blessing on the “solar project.” Princeville Solar, Inc. is looking to have some solar panels up soon.
The VOA model units are now complete, so please take a look at the before/after photos located on the website. Work has currently started on writing up the final RFP, and will be going out to all potential contractors in the very near future. They really have turned out very nice.
We have created a shower area at the lower pool, and refinished the teak tables and chairs in the BBQ area to get ready for the upper pool closure. Please remember that the upper pool will be closed on November 1st for flagstone repair, and all guests will be using the lower pool for now, until there is change in demand. The work is scheduled for about 3 weeks; please note that Tropical Watersports will be closed for that time due to the construction, and will be taking the time to enjoy a long vacation.
Just a note for all the owners: the letter from the fire department was very nice and complimentary to the management of the resort, but the thanks really need to go to the staff who were at the resort and the staff who came back to assist during the fire. So please give everyone involved a Big Mahalo – they deserve it.

We have been very busy here at the resort! There are some important points all guests should be aware of happening in the next few months. The flagstone project will begin as planned on November 2, and the upper pool will be down for approximately 3 weeks while the edges are worked on and rocks are re-stained. After that, the pool will be open for use while the contractor completes the rest of the flagstone. The project should be completed in 2-and-a-half months, weather permitting. The staff will be focusing on fixing stairwells and ventilation repairs for the upcoming months. Also, do not be alarmed by brown grass areas around the resort; the grass is being prepped for thatching, and then will be trimmed to look like fairway grass with help from a new blade mower. Don’t worry – everything grows here in Kauai. I am glad to see owners are still supporting the Adopt-an-Orchid program, with the addition of 27 orchids in new areas such as the parking lot. Things have started moving on the fire clean-up as well. Work is being scheduled to accommodate the large construction equipment that will be used during the demo. Also, trees are being trimmed, lights are being relocated, and paths are being widened.
The big news is that the annual assessment for the VOA has been mailed out to owners, and is also posted on the website. I know you are all anxious to see the photos of the room models; they will be posted shortly. We are just waiting on the final walk-through and we will be posting them after that. We really feel that we have accomplished a 5-star look and feel on a 3-star budget. We are working on the plans for the complete renovation, which will also be posted on the website for the owners to know the “hows and whens.” The renovation committee will be meeting to finalize the plans on which units will be out of commission during the renovation, but they need to coordinate the scheduling with a few other projects for the resort and with reservations. The assessment will be $1,800 for every-year owners and $900 for every-other-year owners, and can be spread over a 3-year period. We are looking forward to bringing our rooms back to where they need to be – at the highest level. We have been showing VOA owners the model room units right after each on-site VOA meeting, and the response has been great. If any owners have already been through the model rooms, please send me a letter or email letting me know your thoughts!

- Bellmen continue to do an awesome job on keeping the ice water full in the lobby for our guests. Coffee service is also going well.
- Bellman and security are doing a great job with helping to wash and dry the pool towels.
- Cleaning the VOA storage area includes moving and restacking wood pile, carrying rubbish to the dump, moving and restacking doors and plywood and general clean up.
- Power-wash and paint trash can from lower pool.

As had been planned for several months, Don Finch formally resigned from the VOA Board of Directors on August 3, 2011:
To the VOA Board, TPI Management Team and the HBR Owners:
I advised the VOA board and the TPI management team early last spring that I would be resigning from the board in the next few months. My goal was to see the refurbishment project completed as far as board action. That happened yesterday at a board meeting, and will be announced to the owners shortly. At the completion of our meeting my resignation was offered and accepted. Since being appointed to the board in January of 2008 I have worked with three management companies. It has been extremely interesting and informative. We have had lots of highs and lows, but we have prevailed. I leave the board with a full plate. The refurbishment, the fire renovation and the pool renovation await your pleasure. The end result will be fantastic facilities to match the best view in Hawaii. To the many owners I have met and talked to in the past three and one-half years, I thank you. Stand by your board, and you will be very pleased with your investment in paradise.

While Don’s dedication and contributions will be greatly missed, we feel we have a very capable replacement in owner Geoffrey King, who has stepped in to serve the remainder of Don’s term. Geoffrey is a CPA based in Bakersfield, CA and has served on many public and private boards, including his current position as chairman of the California State University, Bakersfield Foundation. He is looking forward to sharing his experience and expertise with the HBR board as we continue on the road of success.

Manager’s Message - August

Things are starting to move fast here at the resort with recovery from the fire. The temporary offices in VOA units 1101-1102 will be move-in ready before the end of August. The front half of the units will become our temporary bathrooms, while the back side will be used to house the staff offices. Many mahalos go out to the VOA for their help.
Plans are underway to assemble a temporary front desk in the carport area once we have finished setting up a short-term power source to handle all of Building 16’s needs. This should be completed by month’s end. Once that is done, all we have to do is relocate the IT center and we are up and running. We have selected Shioi as the contractor for the resort’s demolition and rebuilding project, and they are already working on the permit process to get this started.
I would really like to give a big mahalo to Reid Yoshida, our VOA project engineer, and CJS, our architect firm, and their staff, for everything they have done to help us move along so smoothly. CJS are the architects who designed our pool and room renovations, and they truly love our resort. Plans are moving forward for the design of all aspects of 16A, and with the help of these two entities, we are hoping to have everything rebuilt in about a year (but please remember we’re on “island time”).
We recently hired John Mahoney as the assistant manager for the resort. John worked here at Hanalei Bay in the past, and we are very excited to have him around for his knowledge and help in running the resort. The VOA has received approval to finish the room models, and I will post “before and after” pictures soon. I would really like to thank all the owners for their patience throughout this trying time. We are moving in the right direction and the pace keeps getting faster and faster.

- Our security team and bellmen continue to help with washing and drying the pool towels at night.
- We repaired and replaced the rotted railing in front of 1537/8.
- We received new armchairs for the tennis shop deck. Staff will remove the old chairs and put them in Happy Talk to be used for the VOA weekly meeting.
- The asphalt at the beach and at the entrance to the parking lot was patched.
- We filled a huge pothole on the driveway near the loading dock.
- We received the materials ordered from Home Depot for the wall in 9221/2.
- We placed an order with Home Depot to replace the scaffolding destroyed by the fire.
- We continue to clean and clear out the VOA store room (to relocate the maintenance shed).
- The grounds staff started a fertilizing schedule of all lawn areas.
- We have the Kaleo Tree Service removing the paper bark tree at the 1000 building.
- The staff continues with their daily cleaning routine on assigned areas.
- New pool filters were picked up. Ryan installed them and they are running perfectly.
- Met with Growing Greens to assess the damages on the landscape caused by the fire.
- Staff is cleaning up the ground next to the lobby and restaurant area.
- Made blueprint copies of the sprinkler system for Beau at Kauai Irrigation to assess damages.
- Hired a new pool staff with an orientation on job responsibilities and pool pump procedure training with Ryan.
- Met with contractors from Shioi to start putting together demo plans, and work out logistics for the project.
- Went over all demo plans with the CJS group and insurance agents.
- Approved the addition of palapa-style umbrellas for the pool area. This addition will be made while the flagstone area is being worked on in November.
VOA
- We continue to deep-clean and shampoo the carpet for all no-show rooms.
- We added a special project for the mid-week cleaning: brush air vent in all showers and vanity area.
- An order was placed for more bathtub rubber mats.
- Working with Up-to-Date Cleaners on getting a bid for an outside laundry service during the lobby renovation.
- Spoke with The Cliffs resort about their doing laundry for us. This might be an option, but they don’t have a rate for us yet.
- There has been a huge improvement with staff greeting the guests and owners with “Aloha Spirit.”
- We are ordering more linen and terry to keep inventory up-to-par while we do not have an outside laundry service.
- We are cleaning out the storage closet to make more room for supplies.
- Installed new dishwashers in 6322 and 6323.
- Installed new refrigerators in 6103 and 5103.
- We replaced the tub spout, stems, and seats in 5102’s tub/shower.
- We measured the vanity and kitchen mirrors that need replacing. Pacific Mirror & Glass, LLC will cut the mirrors, build new frames, and hang the first one in the 1515 bathroom above the vanity.

“Rainforest”
Ingredients
1 ¼ oz. Puerto Rican Coconut Rum
¾ oz. Light Puerto Rican Rum
3 oz. Pineapple Juice
½ oz. Blue Curaçao
In a shaker with ice, add all ingredients and shake well. Strain into a Collins glass filled with ice. Garnish with pineapple wedge and maraschino cherry.
Good Management Does Not Go Unnoticed
I am Kurt Leong, Captain at the Hanalei Fire Station in Princeville Kaua'i. It is my crew that responded to the Hanalei Bay Resort fire on July 1st. The purpose of me writing this today is to thank you and your staff for employing such a capable management team at the Hanalei Bay Resort (HBR) property. I have known Scott Pacer for many years now as he once was the manager of the Bali Hai Restaurant and is now the manager of the HBR property. Through the years of knowing Scott, he has conducted himself as a true professional in many aspects and understands the meaning of ALOHA. We have worked together to ensure the safety and comfort of the HBR property and the safety of its guests. Whenever we need to do a fire plan for the HBR property, Scott is always able and willing to accommodate us with what ever is required of him and beyond.
On the afternoon of July 1st, we responded to a very large fire at the HBR property. When the fire dept. arrives at an incident this large with so much life and property being threatened, we have many, many tasks and issues we must mitigate in a span of a very short time. Life, property, exposures, water issues, and a whole resort of curious guests (all with cameras) must be dealt with. Scott Pacer was your man. More importantly, he was OUR man. For starters, Scott needed to notify 911 and then protect ALL of your resorts guests and coworkers in an orderly fashion. He not only did his tasks but also did such heroic deeds as shutting off the giant propane cylinders and cut the power to the resort. These tasks are labeled heroic because it was all done on the floor directly below the engulfed building prior to our arrival. Many firemen across the country get killed or injured due to propane cylinders failing and electricity flowing. I for one, who is responsible for my own crew members and the public's safety, never take such acts lightly. My "to do list" became that much shorter due to the quick actions and thinking of Scott. During our 8hr. fire supression battle, Scott always made himself available to us and made sure we had everything we needed, food included.
I noticed during the event that many guests were getting impatient with the resort due to lack of electricity and being unable to return to their rooms, an order I gave to Scott. Scott and his staff worked tirelessly to accommodate the guests the best he could with the utmost professionalism and courtesy. We call this "The ALOHA Spirit." When word was given the guest could return to their rooms, Scott and staff made sure no one was going to be compromised going back to their rooms because of the dangerous areas still located around the fire area. They personally escorted all the guests back to their rooms. Highly commendable decision making in an atmosphere no one plans to be in. Scott Pacer continues to be an important figure in our community.
In a place where community is everything to the local people, it is because of Scott's well rounded ability to manage and his love of the islands and its people that makes him an irreplaceable ambassador for your successful company. I can only ask that you commend this gentleman for all the hard work and positive values he represents your company with.

Manager's Message - July 2011
Aloha!
I hope this letter will give all our owners some information on the recent fire we had at the resort. The Bali Hai restaurant caught fire at approximately 5:20 pm HST, on Friday, July 1st. The fire started on the back side of the restaurant, and quickly spread to the entire roof. The Hanalei Bay staff, especially Richard, Dan W. and Margo, did an outstanding job of evacuating the guests from all the buildings, and, most importantly, NO ONE WAS HURT! The Kauai Fire Department was phenomenal at getting the fire under control and attempting to salvage whatever they could of the front desk area. The staff also did a great job of getting the resort back open and fully operational by 10:30 am the next day.
The damages were mostly contained to the Bali Hai building and some of the front desk area. The Bali Hai restaurant was completely burned and all the shops underneath were damaged due to water and smoke. Hanalei Bay is fully insured, and the boards assure there will be no additional costs to the owners. The cause of the fire is still unknown at this time, but should wrap up soon for insurance investigation. We are in the planning stages (with the insurance adjusters) on how to get things back up and running, and what to do so we can operate the resort as functionally as possible. Right now, we have a great team of architects and insurance advisors moving us forward, and we are hoping to have everything rebuilt in 12-16 months, but you all know how things move in Kauai, so let's say 18 months to play it safe.
The reconstruction will be done by one of two local firms, the two best companies on the island, and we will be making that decision soon, and doing a news release as well. We have to relocate or outsource housekeeping while the construction goes on, and we are going to build a temporary front desk, and relocate the offices to another building for some time. Guests might have to walk around the long way to get to the pool, but we have built barriers for people's safety, and we do not want to see anyone get hurt.
Even though this event occurred, there is some good to come out of it. The staff all came together to do whatever they needed to make sure all the guests were safe. The front desk and office area will get a much-needed renovation, and the restaurant will be completely built from scratch. We will have a new sundry shop, new fitness center, and some new meeting rooms as well. All-new bathrooms will be constructed for both the upstairs and downstairs. We get a chance to recreate all that was done incorrectly, and do them the right way. We survived this, just like we always have, and will continue to do so.
I would like to thank all of you for your support through all this, and ask for a little patience to ensure that this time, it will be done right.

* Announcement board was hung at the lower pool.
* Replaced the koi pond sand filter that split in two.
* Took down paper bark trees near 1500 building two weeks prior to fire. The KFD said it was a good thing they were removed, or else the fire could have spread to the 1500 building!

We are running the renovation plans through the county, and hope the renovation project will be completed in early August. The units really look great; I will post photos soon.

Manager's Message - June 2011
Aloha!
The seasons have definitely shifted and we are into weather very similar to the end of spring, which means we are still getting rain. The great news is that there is more and more work being completed for the restaurant and bar. Work has actually started on the Bali Hai side; they are just waiting for the shipment to arrive from the mainland with all the new restaurant equipment.
The VOA room renovations have slowed down, but with a little luck should be completed very soon. All the soft-scape items have arrived and are waiting to be placed in the model units. We will post pictures on the website for you to see.
The past month has involved mostly taking care of rain-related issues, and has kept the staff very busy. After the annual meetings in May, I attended the Trading Places Manager’s Conference, an annual TPI event where all resort managers get together for various seminars, activities, and presentations for continuing education and for the overall improvement of our resort. The conference led to many new ways of handling issues that arise at Hanalei Bay, including good ideas for WiFi, and effective ways to motivate staff.
I would really like to take the time to thank all the owners, both AOAO & VOA, who have helped in providing us with feedback that we can use to make the resort better, and ideas that save money. Mahalo!

We are currently:
- Painting parking strips in lot with white paint.
- Working on maintenance manual for new employees.
- Working on finding a new jalousie company.
- Removing the paper-bark trees around the 1500 building.
- Meeting with roofing contractors for correct bids for roof renovation.
- Breaking down debris around the property and make dump runs.
We have:
- Painted new building signs and they are ready to install.
- Reset all building and path lights after power outage.
- Repaired an area in the shade house to allow cuttings of different plants on property.
- Planted the rest of the black taro along the walkways near the koi pond.
- Gathered information about paint for the 9000 building project. Not stucco, but rather a poly-blend textured paint that acts as a sealer. The project has been shelved due to rain.
- Talked to Princeville about the rate increase of 35%. They explained the rate has not changed in last five years, and the roads were in need of repaving.
- Repaired electrical box that was rusted out at 5106.
- Sent Kiuc 50% rebate info on all bulbs purchased by HBR over past six months. Also included all info for new pumps which also qualifies for the 50% rebate.
- Gone through the AOAO reserve study to address any potential savings, and have made appointments with vendors to get some accurate numbers for the study.
- Re-opened the Home Depot accounts for both boards.
More updates:
- A caved-in area by pool revealed that the flagstone had only been mortared onto dirt, and there is no slab. The contractor is looking into necessary corrections for the bid.
- Bellmen are doing an excellent job keeping the ice water full, keeping the lobby area clean and opening doors for all our guests.
- The entire crew worked together to stop rain water during a heavy storm with thunder and lighting. There were small floods in the Aikane room, 4000 building, 2000 building and 1000 building. We packed areas with sand bags and dug trenches to drain flooding, as well as cleared drain pipes that had clogged with falling debris.
VOA
We have:
- Installed a new 2-speed motor on the washer in 4223.
- Started having the housekeeping department handle the ice machines around the property, which includes cleaning the laundry area.
- Ordered 10 dozen beach towels, which should arrive within four to six weeks.
- Placed an order for additional guest amenities (ie. conditioner).
More updates:
- Maintenance will still be checking rooms and releasing them to the front desk on Friday, Saturday, and Sunday. Mark “M” on the registration card for maintenance and “H” for housekeeping releases.
- The special project for the month of June was to scrub the black marks on walls and the grout on the floor tiles in the kitchens and hallways.
- The hot water heater in housekeeping went down. The water sensor was out, so the manufacturer sent replacement parts.
- A/C tents are now placed in VOA units.

Manager's Message - May 2011
Aloha!!
Hope everyone is having better weather than us this May! The week of resort annual board meetings has come and gone, and they were probably the best meetings ever at the resort. The boards held their annual elections, and we are glad to welcome the following new board members to our teams:
AOAO: Fritz Leutheuser, Director – replacing Don Finch
VOA: Rick Wilder, Director – replacing Trudy Beard


I would really like to thank Don and Trudy for all their hard work over the past terms, and am happy that they can enjoy the resort now without a board meeting!! Mahalo!!
Both boards were in great spirits, even though we had over 20 inches of rain in just three days. I am very happy to announce that the drainage for the property worked great, and we had minimal water-related issues.


There are two major projects going on at the resort. Firstly, the AOAO has started the front lobby landscaping plans. The grounds crew repaired, replanted, and cleaned up the island in the carport area, complete with all new foliage. New board member Fritz Leutheuser helped install a new filter and light system for the koi pond and bar areas, to give the space the attention it once had.


Secondly, the VOA’s renovation of a 1-bedroom unit and 2-bedroom unit is underway and is scheduled to be completed by June 8th. The units have been completely stripped down, and everything is being replaced - kitchens, bathrooms, fixtures, etc. After completion, the unit models will be used to create an accurate RFP, which will help the VOA receive accurate bidding costs of the entire project from contractors.
This past month, the staff did a great job of supporting our local charities through different fund-raising drives. Our team was also a big asset in making the annual meetings a huge success. The resort grounds powered through the storm, and came out strong, as did our team.



AOAO
- We need everyone to be resort security and keep an eye out for flower theft. Someone is coming on property and cutting our gingers.
- The swimming pool will be closed starting November 2nd for two to three weeks. All non-rental companies, II, and Celebrity have been notified. We are in the process of calling the owners who will be here at this time to advise them. So far, owners have all been understanding and fine with the inconvenience.
- Mahalo to everyone who baked and bought baked goods for the charity walk bake sale. Everything was Onolicious! We made $385.
- We have $35 donated from the recycling, so far.
- The transfer to wave-com was a success, and HawaiianTel installed batteries in our phone system to eliminate brown outs.
- We continue to work on the columns at the front desk by re-framing and staining.
- Black taro and flowers have been planted along the koi pond. We have also installed plants in the lobby circle.
- Orchid sales on Tuesday going well, and the property looking better every week with the additional orchids on the trees.
- Ordered and installed two new batteries for the golf carts.
- Repaired the broken sprinkler line occurred by tree cutting contractor
- Began gutting the nursery area for rebuilding. Staff is currently on routine maintenance.
- Completed nursery cleaning and installed steps at the herb garden.
- Ordered plants and 40 bags of compost for lobby re-model.
- Repaired the stairwell at the 7000 building.
- Started to repair side landing lights at entrance way.
- Continue to receive bids for front lobby remodel.
- Ordered new maps for the property. New signs were needed for buildings that did not have any, or were rotting away.
- Painted inside of the laundry room in the 2000 building.
- Art classes with Dawn are beginning to pick up. Next time you’re here, take a class and create your own masterpiece!
- Installed wood lattice to the decking at the tennis pro shop to cover the underside.
VOA
- Continue to paint all VOA lanai floors.
- Special project for the month: cleaning all sliding door tracks.
- For additional follow-through, associates need to always check drawers and underneath the bed to maintain the cleanliness of the units.
- Replaced light fixture and drywall in the bathroom of unit 1516. Tape, spackle, sand and paint were used over where the leak occurred.
- Removed furniture and old appliances from units 2101/2 and 4123/4 for the remodel.
- Update on Maintenance Work Orders: We are going back to paper work orders and every ½ hour, maintenance will pick up work orders. However, if it’s an emergency, by all means call maintenance on the radio.
- The “5-10 Zone:” Whenever a guest reaches the 5-10 feet zone, we all must speak to or acknowledge the guest with a smile and the “ALOHA SPIRIT,” while using the guest name (if possible).
- Installed new mirrors in unit 9322.
- Replace washer/ dryer in units 6323/4.
- Repaired washer/dryer in units 8201/2 and installed a new vent line.
- Pulled all items out of remodel units and placed them into circulation.
- Reid Yoshida has been brought on as our project coordinator for the model units project. He is working with Matt Hamai on the time schematics for the room model completion on or around June 12th.
- Worked with DFD on finalizing all aspects of room renovations.
- Ordered GE Profile-series appliances for the unit models.
- Finalized cabinet and granite orders for unit models.

Manager's Message - April 2011
Aloha!
There have been a lot of great things happening here at the resort, and we have been blessed with great weather for the past month. Keeping that in mind, we have officially picked the dates for the flagstone renovation project for the upper pool. It will start on November 2nd, and last approximately 2-3 months (weather permitting). The pool itself will only be down for about 3 weeks starting November 2nd to fix the flagstone around the edges, re-sculpt the bullnose, and to re-stain the lava rock near the upper pool and hot tub (also weather permitting). The lower pool will be open, and I am working on obtaining permission to use one of our neighbor’s pools for those weeks while ours is down.
The VOA room renovation project is set to begin, and is looking to be almost ready for the annual meetings in May. Please check this website for updates and pictures. We are starting to see more and more activity on the restaurant side, but the opening dates have been pushed back to around June due to the liquor license.
Also, the AOAO house committee has received a set of plans for the lobby renovation project, and I have been setting up appointments for the facilities committee to meet with vendors for the roofs.
We are planning a bake sale in the front lobby on April 15, with proceeds going to the Visitor Industry Charity Walk. The walk will take place on May 14th in Lihue, and if anyone is interested in walking, we have pledge forms in the lobby. Please see Lillian for details.

- We’re going to install new wood lattice on tennis pro shop decking to cover the underside.
- Mr. T’s Termites is going to reinstall the Sentricon system in the 4000 and the 9000 buildings.
- We completed the removal of trees around the 3000 Guava building, and it looks great.
- Pakka Chandler reduced the crown on the rubber tree in the back near the 1500 building.
- A new Hawaiian flag was hung at the front entrance.
- We finished installing new lights and power outlets at the pump station and ran power from the breaker box in the 8000 building into conduit in a trench to the pump station.
- The power outlets at the ATM machine were replaced for better service.
- The fixing of the front koi pond has been completed, as well as removal of overgrowth in that area in preparation for replanting.
- Work has started on removal of debris near the shade house. At least two truckloads of debris have been hauled to the dump.
- The new bell carts have arrived and are already in use. Terilynn is looking for waterproof material in Hawaiian print to make seat covers for the carts.
- To save on propane use, we’ll be shutting down the tiki torches one hour earlier and making sure lights, A/C, and fans are turned off when guests leave. We’ve also ordered new nozzles for our tiki torches.
- We are planting a hedge between the 1000 and 2000 buildings. It will run from the carport area to deter trespassing on the property.
- The pool lights were replaced with new LED bulbs and GFI outlets. We ordered 100-watt LED bulbs for the lights in the lobby.
- 21 tree stumps have been removed.
- We are finishing painting the front entry landings of all buildings.
- We pulled the A/C unit in the telephone room and rerouted the drain line. We also cleaned it, and installed new plywood to create a better seal.
- New hinges were installed on guest bathroom doors; the paint on the doors was touched up as well.
- The A/C drain from the front desk back office was re-routed through the floor to a new location, and the roof above was repaired to fix leaks in four locations.
- The walkways project is underway; we jack-hammered the concrete area that had been uprooted by trees, and cut out stumps and tree roots. New cement was poured.
- The employee of the quarter luncheon went well. Mahalo to Terilynn for coordinating the luncheon and picking up all the food.
- Orchid sales went well on Tuesday; over 10 orchids were sold to owners.
- The 9000 spalling project has been completed.
VOA
- We continue to paint all VOA lanai decks.
- Carpets were shampooed in the VOA units where the carpet hadn’t been replaced.
- Hair dryers are installed in all units.
- There are five new kitchen light fixtures installed.
- The carpet replacement project is now done. The completion of the 28 rooms ends the “Iniki era” carpeting.
- We continue scrubbing all first-floor front entry landings.
- Interior light fixtures are being removed and cleaned.
- Housekeeping deep-cleaned the rooms with new carpet after the installers left. Maintenance and housekeeping staffs are working well together.
- We will have two model units: one 1-bedroom and one 2-bedroom. We’ll start work between April and May, probably in units 2101/2 & 4123/4.
- We have hired Reid Yoshida as the project engineer for our room renovation project, and he has already begun to make a big impact on the resort.
- Hamai Builders will be doing the kitchen and baths for the model project, which involves a complete overhaul. Granite countertops and a new walk-in shower are just some of the changes coming. Matt’s company did the maintenance roof renovation project, and he is excited to make this project his crown achievement.
- The deedback program is going along very nicely.

Managers Message - March 2011
Aloha!!
Well, we survived another Tsunami warning here at Hanalei Bay. The staff did an excellent job of handling all phases of the emergency.
There are a lot of things happening here at the resort. The big announcement is the repair of the flagstone at the upper pool, which is expected to start in the fall of this year. This means we are going to have to shut down the pool for 2-3 weeks. We will keep you posted on the exact dates. A magnificent plan is being developed to remodel our landscape and lobby area, and some work has already started due to a Koi pond leak that needed to be repaired. We are still waiting on some approvals from the Princeville association to ramp up the other phases. We have now completed the installation of all carpet in the VOA units, which still had carpeting from the Iniki era, and have almost finalized the plans for the VOA unit models, which we hope to start very soon. The staff did a great job of completing the 9000 building spalling repair.
Finally, the “Adopt an Orchid” program has reps from local florists supplying our owners and guests with slightly discounted rates for orchids for the resort, bringing our total number of orchids to just over 100.
Work has begun on getting the restaurant open. It is nice to see life in there again!
A few requests to keep in mind:
- Please do not feed the chickens. We have relocated about 30 birds in 30 days, and need your help in contaiing this issue.
- Please divide all recyclables into separate bags and just leave them outside on the walk. This helps the staff out tremendously.
- Due to rising gas prices, we now shut off the torches at 9:00 pm, and any efforts to conserve electricity would be greatly appreciated.
- Smoking policy: No smoking within 20 feet of any door, entrance, window, or rooftop. Smoking areas: the parking lot; the grass area by the 3000 building; the 7000 building by nursery; and in the back by housekeeping.

- Installed new hinges on existing guest bathroom doors and touched up paint on the doors.
- Patched the roof above the front desk back office to stop leaks in four locations.
- Power-washed tennis court #3, and reattached the wind screens that unraveled due to high wind.

- Fixed all water timers on property for bougainvillea archway and hibiscus plants around property.

- Replaced hot water heater in 2204.
- Table tents promoting water conservation have been placed in all VOA rooms in an attempt to lower water bills.
- Work in 2201/2 mirrors, drywall, lighting, shower floor; started floor tile demo.
- A new dishwasher was installed in unit 4223.
- Sewer stoppage was fixed in units 5102 and 6122.
- The special project for the month of February was to clean all the interior light fixtures and dust the ceiling fans.
- Finished painting front entry landings 1/2/3/4/5/9/1500 building.
- Completed a “Request for Proposal” for the renovation of baths and kitchens, and sent it to committee.
- We continue to shampoo the carpets, hitting all the no-show units we can.
- We deep-clean the rooms with new carpets after the installers have left.
- Installed new kitchen lights in 2304 and 2104.
- We will have two model units, one 1-bedroom, and one 2-bedroom. Work will begin around April or May. The units we are looking at are 2105/6 and 4123/4.
- We have removed and cleaned all interior light fixtures.
- Purchased three 32-inch TVs, two 26-inch TVs, 19 coffee makers, and four blenders.
- Installed new kitchen light fixture in 1524, 1554 and 2307
- We always work on the ALOHA spirit, working one-on-one with guests.

Happy Talk Lounge and Bali Hai Restaurant are coming back!
I am pleased to announce the sale of the restaurant and lounge is final. We held a rope cutting party to celebrate the closing of the deal. The new owners currently operate Kalypso’s in Hanalei. They are shooting for a re-opening date sometime in May, and plan on reopening the bar first, but nothing official yet. “Great food and drink, with great entertainment, at a reasonable price” is what we are hearing so far from the newest members of our Ohana. They also are currently working on getting the canoe back to HBR, and possibly putting it up in the Bali Hai, where it was originally to be displayed. The phones have been ringing off the hook to verify the sale, and we could not be more excited about what the future holds.

Here’s what’s been happening around the resort:
- We’re pleased to welcome Tammie Bernard to our front desk staff as our new night auditor
- Our new golf carts for the bellmen are scheduled to arrive sometime in late March
- We’re glad to announce that we will be having art classes taught by local artist Dawn Lundquist, in addition to displaying her work in the lobby
- Carpet replacement for the VOA units has begun and is on track to be completed by mid-March.
- With the removal of the paper bark trees, we are starting to see growth in areas that have not seen sunlight in a few years, giving the resort a much healthier look
- The classes at the fitness center have been a big hit, especially the Zumba class
A request to all owners: please do not feed the birds, and please report to the front desk if you see anyone feeding them.

- The grounds staff have removed all the paper bark trees along the 6000 and 7000 buildings, and in areas where tree roots have uprooted the sidewalks and foundations. The next step will be to break up cement around areas, grind down stumps in the affected areas, and pour new cement.
- We met with three other vendors for the flagstone renovation project around the main pool, and will be receiving their bids, two of which will use the existing flagstone for a considerable cost savings.
- The spalling repair for the 9000 building has been scheduled with Pacific Masonry.
- Power washing continues throughout the property: walkways, the entire carport area, and the lower tennis courts.
- Met with House Committee members several times about the lobby renovation project. As a result, a lobby renovation plan is being developed.
- A specialty telephone contractor repaired and restored troubled areas on the property.
- A new maintenance staff member, Joseph, specializes in telecommunications. He has already jumped in and corrected numerous phone issues, and we are very glad to have him on our team.
- A safety light was installed at the 1000 building area.
- We received bids to have all locks re-keyed, and to install a card entry system (which we have given to the facilities committee).
- We caught about 27 roosters and two cats in 15 days.
- We completed filling in a drainage trench around the 8000 building area.
- We met with Morningstar about the attic ventilation project and we’re investigating ways to place quieter, more efficient fans in these units which will provide a better ventilation system for all three floors.
- We’re ordering LED lights for the pool from Bear Lighting in California. They’ve given us great prices, and they would like to be the distributor for all the resorts.
- We talked to Jesse from the Gas Company about when the new torches (that use much less gas) are going to be ready – but they couldn’t tell us when.
- Matt Hamai is turning in bids for the lobby remodel project, and we sent a floor plan to the house committee for the lobby remodel.
- We de-cluttered the front desk area around Luka’s corner, as per house committee direction
- We started gathering bids for the replacement of the stairwell and landing for the resort, and we’ll be turning it in to the facilities committee.
VOA
- We power-washed the lower tennis court and landings around the resort.
- We started painting the front landing and removed the tiles from the lanais of all buildings
- We continue to deep-clean the no-show VOA rooms and clean all maid closets around the property
- We’re gathering pricing for recycle trash cans for all rooms, and we’re putting together a small goods order to stock all units.
- We’ve reduced staff work hours to 32 per week, due to low occupancy.
- Carpet is being installed in VOA units and we’ve closed down the storage units account, saving the resort money.
- We’ve hired a night auditor, Tammie Bernard. She is working out well. She’s trained with the am/pm front desk and will start the 10-6 am shift soon.
- The bellman is doing a great job on maintaining and cleaning the bell carts, sweeping the lobby area, and making sure the water jug in the lobby is full.
- Terilynn and Lillian are still calling owners to book their 2011 week and pay their maintenance fees.
- A new stove was installed in 6103
- We completed the 2201/2 bathtub project, including installing a new tub, building a shower, and tiling the entire floor. Remodel work continued in 2201/2 with the installation of new plumbing drains and valves as well as a new bath tub. There also was a lot of re-framing done to allow for the shower and tub.
- We completed the 6104 tub surround replacement project, including the installation of new drywall in the entire bathroom, and repairing the wallpaper areas around the air-conditioning unit.
- We replaced 2 stained mirrors with new ones from the remodel.
- We implemented the Maika’i card for store discounts for the VOA units.
- We are putting together a RFP for the room renovation model project, but it has been delayed due to all the meetings. It will be completed and sent to the renovation committee for approval shortly.
- We started the deed back program for owners to purchase those weeks at a reduced price.
- The VOA owners’ meeting which was held in the restaurant was halted when a family of whales was spotted breaching in the bay. Lillian says this rarely happens, so it must be a good sign.

Due to the greens renovation project, the Prince Golf course has officially closed and is expected to reopen some time in the fall. Hence, the Makai golf course is very busy, so please call ahead to make your tee times.

The fact that you are reading this article means you have an interest in your association. Serving on the board is your opportunity to have some impact on the future of Hanalei Bay Resort by being involved in the decision making process. It is your chance to affect the way things are run and to see that board decisions are to the advantage and benefit of all the owners.
What is it like being a board member? In a nutshell, you and four other Hanalei Bay Vacation Owners Association owners will be the unpaid executive officers of a large, complicated corporation. You will be a diplomat, a negotiator, a financial analyst, a decision maker, and a communicator all rolled into one. Common sense and the information that will be provided by the management company and the professional experts (attorneys, accountants, insurance agents, etc.), will supply you with the knowledge necessary to make the right decision.
If all of this appeals to you, all you need to do to be considered by the nominating committee for inclusion on this years ballot is to fill out the nomination form included here and return it by March 14, 2011. Three of the five board positions are up for election at the May 12, 2011 annual meeting. It is your opportunity to be an essential factor in the continued success of the Hanalei Bay Resort.

Managers Message - January 2011
Aloha!
I hope everyone had a good holiday season.
The resort has been quite busy since the first of the year:
- Lillian dropped off our first big donation to the Kauai Food Bank
- We had the house committee meeting formulate a plan for the lobby remodel
- We have had a couple of good leads for contractors to place bids on the remodeling projects for the VOA room remodel and we are getting a better idea of cost for the project.
- The front desk is currently looking into hiring a night auditor position for the resort
- Housekeeping will also add another staff member to their team at a later date. We are glad to see Troy come back to work after being out for three months due to illness.
After 31 years of service, Van Ruaboro announced his retirement from Hanalei Bay resort. Van has worked here since the resort was first constructed, and he has been a very dedicated member of the Hanalei Bay staff and its Ohana. We are truly going to miss him, and wish him all the best in his retirement.
Also, on a sad note, we are sorry to report that our beloved pool guy, Derek Parrot, will also be leaving the resort due to his diagnosis of cancer. We are truly going to miss his English wit and poolside banter here at Hanalei Bay Resort. We wish him all the best, and ask that you keep him in your prayers.
All in all, the resort is charging right back into all the work that we have planned for the first quarter of the year. We’re training our new staff members to exude the “Aloha Spirit” and ideals, and are embracing them into our Ohana. We had our annual staff meeting, and all of the departments came up with their own New Year’s resolutions. All departments agreed on making improvements in the following areas: 1) communication and, 2) embracing the “Aloha Spirit.” The staff is committed to doing a better job of communicating with other staff members and guests, while making sure that all guests have the best vacation possible and we are looking forward to an even better year than last year.

- The pump station repair project has been completed, and all pumps are up and running.
- We received two more bids for the flagstone repair pool renovation project. Bids are still coming in and will be submitted to the board next month.
- We received a bid to cement the back stairs area of the restaurant. Included are the quotes to have them pour cement around the property where the tree roots have raised the sidewalks. We still will need to remove two trees, break up old cement, and dig out the tree roots first.
- Spalling issues in the 9000 building have companies turning in bids for the repair. We’re trying to get that scheduled for mid-March.
- The Aloha Termites company did a spot treatment for the 9324 lanai.
- We are still waiting for a few other roofing bids to come in.
- There was a massive rainstorm on property, and the resort held up very well. No units were flooded, but the staff had to remove 6-8 feet of tree roots from the impacted gutters in the 2000 building.
- The maintenance staff removed all debris and any growths from the roof of the front desk building. Ronald will fix all exposed wires on the roof as well.
- An electrician came out to fix a short in the landscape lights.
- We took all blueprints to Princeville Business Center and scanned them as a PDF so we could have them on file digitally. This will allow us to print them out to give to vendors.
- We went over the 2011 budgets with all the management staff, and are having them allocate for better plan for next year.
- We spoke with Ricky at the health department about food service at the pool bar area, and are waiting to hear the outcome of that meeting.
- Invoices for work done in the AOAO units were sent to owners.
- Letters and emails were sent out to all rental companies letting them know that all their staff (housekeeping & maintenance) need to sign in at the front desk. This applies to all vendors on property.
- A floor plan was sent to the house committee for a lobby remodel. Matt Hamai is turning in bids for the project. The house committee members met here at the resort to go over front lobby renovation plans, including looking at new furniture, landscapes, and a new front desk.
- New golf cart paperwork was sent out, and should arrive before Feb 1st
- Toby and Scott completed a CPO class certification.
- We spoke to Sam Morningstar about installing solar attic fans and other possible solutions for the ventilation problems in all the units. A meeting is scheduled to plan out the replacement.
- According to multiple bids, solar light replacement for the parking lot will cost $75,000. Due to the steep price, we will be installing less expensive LED lights.
- We are in the process of sealing the wall in the maintenance office to stop rain leakage.
- New latches on the telephone doors were installed to ensure proper closure.
- We are working on locating and labeling homeowners’ closet keys.
- The electrical trenches at the 8000-9000 building were back-filled.
- Exterior lights were cleaned and replaced throughout the property.
- The grounds crew is running short-staffed due to Troy and Ernesto’s absence. Toby has been covering some of the work, and we have authorized a little overtime for the team to clean up after the big storm.
- Tree trimmers have reduced the crowns on the ficus trees in the parking lot, and on the ficus, monkey pods, and other trees by the 1000 walkway. Arborists for the resort said that the trees had not been done in years, and most will grow into proper shape in just a few months.
- We spoke to Jim Dornfeld about possible support from owners about the trees on the greenbelt parkway. If they are cut back, the 1500 buildings will get a much better view.
- John Austin will fix the flashing in the 8231 unit, which was badly damaged by water over the years. The window was completely shot.
- The staff Christmas party was held, and it was announced that there will be a slight increase in pay taking place around mid-January. Christmas bonuses were given out the day of the party, and the staff was happy and appreciative. Terilynn did an excellent job of planning our party and Van’s retirement luncheon.
- Van won “Employee of the Quarter,” as did Richard for front-of-house. Kaipo was awarded “Employee of the Year” for 2010.
- IAO is filling in at pool & ponds to cover Derek’s absence.
- The roof maintenance project is complete. All items have been removed from the barn and are waiting to be torn down.
- MSDS books in all areas of the resort have been updated.
- Maintenance painted underneath the façade to remove fingerprints.
- We are maintaining the cleanliness of the golf carts.
- Bellmen are sweeping the lobby area.
- We are working on completing what is needed for the pool bar liquor license. We paid taxes to the Department of Taxation in Lihue, and will resend more work soon.
- We spoke with Sign and Print Machine about replacing the property maps around the resort, and are working on getting site maps or property maps from the county for the long-range planning committee.
- All rotted lattice in the back stairs area leading to maintenance have been replaced, and we’re looking to replace the rotted handrails.
- A new work truck has been purchased to help with all hauling needs -- Yay!
- The emergency light at the pump station has been relocated.
- We are creating smoking areas at the 7000 building and throughout the beach path location.
- We are implementing a plan to increase cleaning and checking propane tanks at the grill areas, along with adding new lighters and igniters.
VOA
- We are ramping up the bathroom remodeling in the 2000 unit. They tried to re-glaze the tubs and failed. Two guys will try to get one done every two weeks, which will hopefully bring down the number of guest complaints.

- We received a bid of $41,000 from Hesse Flooring for carpet installation. Our budget is $40,000, so we are going to use some of the pad in storage to reduce the cost. Also, Hesse Flooring is going to warehouse the carpet for us. They think they can do the entire project in 3-4 weeks. However, we are going to plan for two months so we can fix some items in certain units. All carpet currently in storage is in great shape.
- The staff started to rebuild the bathroom tub surround that fell in units 3307/8, and are looking to have it completed by January 11th.
- Two kitchen light fixtures were replaced due to broken globes.
- All maid closets around the property were cleaned and stocked accordingly.
- We are pricing recycle trash cans for all rooms.
- We are looking into the Lodging Company to replace old appliances and items that units need to be fully stocked.
- The carpet extractor machine will arrived January 14th.
- We are currently showing contractors around the property for the kitchen and bathroom remodel to get an idea of the scope of work. A final model needs to be provided to them to compare apple to apples.
- The demo for remodel in unit 2201/2 has begun. The plan is to replace the tubs with a step-in shower and a new tub on one side. This model closely ties in with remodeling ideas for the bathrooms for all units.
- The demo of the unit 6104 remodel has begun as well. The bathroom wall collapsed due to a water leak in the upstairs AOAO units. We are removing drywall now, and expect the unit to be down for repairs for at least two weeks.
- The housekeeping staff is doing a great job.

The Prince golf course will be closing until the fall of 2011. They are re-doing all the greens and sand traps, but the Tavern and the clubhouse will stay open.

It’s Christmastime here at the resort and we have appointed Colleen to be in charge of decorating the lobby for the holidays. The front desk area looks very festive. Toby had the grounds crew plant poinsettias around the koi pond and the front desk area. Terilynn is in charge of our annual Christmas luncheon for the staff, which will take place on December 22nd.
We really lucked out with our lobby Christmas tree this year. Lillian contacted Hanalei school to have the kids come out and decorate it. The kids did a great job and we have placed a donation basket for the school under the tree. We also set up a donation basket for the Kauai food bank at the front so owners can leave their unwanted items in the basket.
We are really excited to welcome Luka Hooten back to the resort as our travel and exchange associate, and yes, she has already started baking all sorts of items for staff and guests. I was really hoping to have some sort of word about the restaurants for you for the holidays, but there is no final word just yet.
On behalf of all the staff at HBR, we would like to send a big mahalo out to all of you for your understanding and support over the past year. A lot has been accomplished, and we are looking forward to getting more things accomplished next year. We are all in this canoe together, as an Ohana, moving in the right direction. Slowly but surely, we will be the best resort on this island.
AOAO
Renovations
- Replaced timers and photo eyes on walking paths and building lights.
- Working on putting in timers on existing building exhaust fans.
- Rebuilt the wooden bridge near the 1500 building.
- Removed the monkey pod tree from 4000 & 8000 area.
- Removal of the paper bark trees near the Hibiscus building and car port has started, along with the crown reduction for all the parking lot trees. This project should be completed by December 20th
- Maintenance roof renovation is complete. The job was finished by Hamai Builders, and looks great.
- The bakery area and VOA shop are being relocated to the new area.
- Maintenance staff will tear down the barn in back lot to add more parking spaces for the restaurant when it opens. A repaving of the lot will follow after.
- AOAO has the house committee working on remodeling plans for the front desk area, tying it all in with the restaurant so everything flows.
Other News & Updates
- We are working with Aaron Feinberg, through the house committee, regarding using his art to display around front desk.
- There was a power outage of all the property lights, which was quickly corrected in two days.
- A big thanks goes out to Jon Emanuel for wrestling with the state to get the property taxes lowered. Mahalo Jon.
VOA
- Maintenance staff will be starting demolition on units that have deglazed tubs and sinks, resulting in all new bathrooms for these units.
- Water heater temps are continuing to be adjusted throughout the room inspection process.
- We are finishing up scrubbing front entry landings
- Deep-cleaning of the no-show units (the few we have) is being performed.
- Bids for installation for the rest of the carpet have been turned into the board for review.
Resort News & the Da Kine
- Kaipo is back to work, after being out sick for one month, and we are glad he is back and feeling better.
- Poipu Golf Course has reopened after having all their greens re-done.
- Hanalei Bay Resort was one of the sponsors for the Golf Ball Drop for the following two charities: Relay for Life and Kauai Food Bank. It was a big success.
- Fitness center classes have really taken off at the property. Most morning classes are full.
- Staff members are being reshuffled to the grounds department to cover staff shortages due to employee vacations and illness.

Aloha! Happy fall!
It’s still a bit dry here at the resort, so we have had to start watering a bit more than we’d like. The sunsets we have been having have been amazing for these` fall months, thanks in part to the Kona wind blowing from the Big Island. The resort welcomed members of the AOAO and VOA board of directors, who met here for three days to discuss the preparation of the 2011 budgets, long-range planning, and more.
We’ve been making a lot of progress getting the proper authorizations to start planning a few of our major projects. The Princeville Community Association has approved our plans to reduce the crown of all the trees in the parking lots, and has allowed us to remove the paper bark trees in the front by the lobby and around the property.
A major concern is helping a perspective restaurant buyer get everything in alignment to possibly buy the restaurant. Let’s all keep our fingers crossed for a smooth transition. Last, but not least, our renovations committee is gathering more and more information from all vendors possibly bidding on the renovation project so they can formulate the best plan.
The following are a few “helpful tips” from the staff – these gestures help us out and save the resort money.
- Please do not dump coffee grounds down in the sink. It causes huge plumbing concerns for all of the units connected to that drain, resulting in some pretty pricy repairs.
- Please sort your recyclables if possible, and place outside for collection.
- Do not feed the chickens! They multiply if they are fed.
- If you do not want the mid-week cleaning, please let housekeeping know. We can allocate the staff to other projects around the resort.
- If you leave your unit, double-check that the lights are off to conserve energy.
Updates - AOAO
- Construction has begun on the maintenance department’s new roofing project. This will allow us to move all of our maintenance supplies out of the bakery area, and start reducing inventory in our barn as well.
- Eventually, we want to tear down the barn to allow for more parking spaces.
- The phone at the upper pool has been replaced with a cordless phone to avoid having to re-cable under the pool. Tropical Watersports’ extension is still 1055.
- We talked to Princeville Community Association about having the trees cut along the green beltway near the 1500 building (Heliconia). We are awaiting their response before any decisions are made. These trees are not on property, but several owners are looking into contributing to a fund to finance the project.
- We have met with several vendors for the flagstone repair project by the upper pool, and one has returned a bid.
- We spoke with Time-Warner about a possible Wi-Fi area for the resort, either at the front desk or by the pool.
- We started the new check-in fee process at the front desk for AOAO guests.
- We met with a pool-design architect and he shed light on the cost of the pool bar project. It is quoted about triple what the budget was. The good news is that our contractor thinks the actual cost will be a lot lower.
- The staff has been adjusting the water heaters as they can get to them. We are waiting for timers to come in to further adjust the use of electricity.
- We talked to the inventor of the Energy Eye A/C systems we currently have in the rooms - they want us to completely replace the system we have in the units rather than repair them.
- All AOAO rooms now have non-smoking decals on the sliding glass door, and new telephone pamphlets.
- The AOAO units now have in-room binders featuring resort information.
Updates - VOA
- New mattress pads for the king-sized beds have been placed in the VOA - enjoy a better night’s sleep!
- We started re-strapping lanai chairs for units that do not have patio furniture.
- A new bathroom tub surround was installed for 2207. The old one was completely falling down, and upon doing replacing it, a leak was found in 2307 and was quickly fixed.
- We have obtained quotes from vendors on carpet replacement bids.
- Pillow protectors and rubber tub mats have been placed in all VOA units.
- Buildings 3000 (Guava), 4000 (Palms), 8000 (Plumeria), and 9000 (Bamboo) have been updated with new 32” flat-screen TVs (except unit 3208 - the cabinet is too small).
- All VOA rooms now have non-smoking decals on the sliding glass door, and new telephone pamphlets.
- New “Do Not Disturb” signs have been ordered, featuring the HBR logo and a hibiscus flower.
- New phone jackets have been installed in all the rooms.
- All rooms have new pillows and pillow protectors, plus one extra pillow in each bathroom.
- We opened an account with a lodging company buy in bulk, and we plan to purchase through Wal-Mart as well.
- Margo is doing another “key inventory” for all VOA rooms. This ensures that we will have enough keys for all guests upon arrival.

Managers Message - October 2010
Aloha!
Well, we have finally been getting back to our normal rainfall pattern for this part of the island. Around 3:00 am, we get a nice rain – just enough to cool things off and keep our resort watered and full of color. Speaking of color. . . the bougainvillea archway has come back to life due to the installation of a new watering system and the help of our VOA owners, John and Elizabeth Marihart, who have educated me and the grounds crew on proper care. A big Mahalo to them for all of their help.
The resort has been very busy, and has had a few challenges this month. In this month’s issue, I would like to address some of the most popular questions that come up at our weekly VOA owners meetings.
The Top 10 Questions at VOA Owners Meetings
- Are we getting any more pool umbrellas?
We have purchased some umbrellas for the pool, and are waiting to see how they hold up during the rainy season and if the bases will be heavy enough before moving forward.
- Have we ever considered going solar?
We have considered going solar, and plan to do so in conjunction with the roof repairs so the projects can be done simultaneously.
- What is going on with the luau?
We have not yet had a luau due to poor attendance in the past.
- Do you know what are they going to build on the old plantation spot?
Currently, nothing is going on at that property. There was talk of it being used as a possible location for the Disney Pirate movie, but as for now, it is not being used.
- Can we put chaise lounges at the beach?
We tried to, but since we do not own the land on the beach, it would conflict with our neighbor’s beach chairs.
- What are we doing to reduce the population of the chickens?
We do a chicken round-up every month and relocate them to the mountains, but they are always going to be an issue. Please keep in mind every chicken trapped costs $5.00 to relocate. So please remember: when you stay at the resort, do not feed the chickens.
- Why do we have to pay the check-in fees?
Check-in fees are not new; they are now being paid at check-in so the people that actually use the resort are the ones who pay the fees. Prior to this new system, the fees had been figured into the maintenance fees based on the resort being 100% occupied, 100% of the time. However, the occupancy falls off during the rainy season, so we had to change the process.
- Why don’t you open the bar and restaurant?
The bar and restaurant are not owned by us, and are currently up for sale.
- Is there an approximate time for renovations?
A renovations committee has been appointed, but as of today, no dates have been set.
- Do we have a liquor license to serve alcohol at the pool?
No, the liquor license for the pool area is controlled by the owner of the restaurant. We are currently trying to get our own liquor license.
Resort News
- Front doors have been ordered from Honsador Lumber Company, and five interior doors have been purchased from Home Depot.
- We hired HawaiianTel to fix the phone box for the 5000 area (which has always been faulty with bad connections). They also found a solution regarding the pool phone for Tropical Watersports – they are going to hook up an analog phone from the sales office to work in the cave.
- The emergency backup pump for the sewage station was installed.
- Construction of the new maintenance roof is being scheduled and should be complete before the end of the year.
- “No Smoking on Lanais” window clings were ordered for all units.
- We purchased two TVs, three DVD players, four stereos, 13 wine openers and 9 can openers. Also, T300 linens have arrived.
- A lightpost fell in the parking lot while new signs were being installed. We are obtaining bids for repair of the one post, and also for the replacement of the lightposts in bad shape – ones that are going to fall, and ones with old lights (not only a safety hazard, but not energy efficient). The plan is to replace the lights with the same ones we have on the grounds to keep things uniform. We want to install LED lights for easy maintenance and to save energy.
- In-room binders with resort information have been placed in all the VOA units. They will be placed in the AOAO units when the rest arrive.
- Three new replacement sleeper-sofa mechanisms were installed due to wear and tear on the old ones.
- The Malama Ke Kai snorkeling class has been approved. We are getting insurance paperwork corrected so we can move forward.
Around the Resort
The Prince golf course continues to give our resort great rates for our owners – ask at the front desk to take advantage of this opportunity.
- We had three housekeepers out sick at the same time this month, and the entire staff did a great job of pulling things together. We are very proud!
- The staff is doing a good job with the room inspection process, resulting in reduced guest complaints. New staff members have been going through inspection training with Dan Hurd and the general manager on the proper ways of completing inspections and satisfying our high expectations.

Aloha!
The weather here at Hanalei Bay Resort has been nothing short of perfect. Even though we are still experiencing draught conditions throughout most of the island, the North Shore still gets a little bit of rain in the morning, followed by a rainbow, and then nothing but clear skies for the rest of the day.
North Shore News
The big news is that the new restaurant at the Princeville Resort, The Tavern at Princeville by Roy Yamaguchi, is scheduled to open soon. Speaking of restaurants, we have shown two interested parties our restaurants, and have put them in contact with the proper people. So hopefully you will have a new place to try out when you return to Hanalei Bay resort. In golf news, three golf tournaments were recently held on the North Shore at the Makai golf course and the Prince. All tournaments benefited local charities.
Resort News
- Resort occupancy was 98% for VOA, and 53% for AOAO, for a combined total of 78% occupancy. The staff has been doing a great job of handling the past month’s high occupancy, and they have done it with great “Aloha Spirit,” so Mahalo to them for a job well done.
- Security has been doing a great job of escorting trespassers off the property, with Billy leading the charge.
- Grounds crews have cycled out the New Guinea impatiens, and have phased in a sea of marigolds. They are currently preparing to germinate the poinsettias for Christmas time.
- The sewage pump station went down for about an hour, and we are ordering a replacement pump, which will be installed as soon as it arrives.
- A lot of compliments have been received from guests and owners about the herb garden.
- We will be receiving a quote to remove the two 80-ft palm trees, since our arborists no longer feel safe climbing them. We are discussing the decision whether or not to plant new trees.
- Dan attached a hot water line for the health inspection of both the Simply Sundry and Tropical Watersports stores.
- All new 300-count sheets, towels and pool towels have arrived.
- All VOA rooms have one extra pillow.
- There are now alarm clocks in every room.
- Erik Grable has been hired as a new maintenance staff member.
- The chicken round-up netted 23 birds and we have added more traps down by herb garden.
- Also, we:
- Planted an additional 18 orchids, bringing our total number of orchids to over 60 for the whole property.
- Started obtaining bids to repair the broken flagstone by the pool.
- Purchased a replacement A/C unit for the housekeeping department.
- Have begun work on the budgets for 2011.
- Repaired the stairwells in the 2000 building.
- Put the 1551 building “out of order” due to water damage.
- Are working on stripping off all the wallpaper, and placing plexi-glass, seal and trim to the exposed jalousie area.
- Fixed and painted the laundry facility in the 8000 building. We plan to continue to the other laundry facilities once our occupancy slows down.
- Cleaned up dead trees around the 6000-7000 area.
- Trimmed parking lot trees to prevent branches from falling.
- Planted a night-blooming jasmine tree at the front to add a pleasant scent to the carport area at night (a nice treat for late arrivals!)
- Put new pool tables and umbrellas in the pool area.
- Received and installed signs for the parking lots: “Parking for resort guests only. All others will be ticketed, clubbed and or towed.”
- Ordered new “Do not disturb” signs for the rooms and “No Smoking” window clings for the lanais.
- Turned in bids for replacing the roof of the maintenance department.
- Held an employee potluck luncheon to celebrate the large number of birthdays in August.

Managers Message - August 2010
Aloha!
Well, it has been a very busy month here at Hanalei Bay and there are a lot of people at the resort who have helped accomplish our goals. Teamwork is the resort’s strength that has helped us through a very busy month. I’d like to send out a big Mahalo to the entire staff for chipping in and helping out in different departments. The bell staff helped shuttle pool towels to be washed and dried in a timely manner when we were running short, due the number of large number of families at the resort; the front desk handed unexpected shifts in schedules to cover co-workers’ vacations and sick time; and housekeeping put in extra effort for our special-needs guests. We have a wonderful staff and just wanted them to be recognized.
A few things you should know
If these awards don’t tell you this place is special, I don’t know what will.
Resort Updates
Grounds & Maintenance
- We are adjusting all units to have hot water heaters set at 125 degrees to help lower electricity costs.
- We are currently looking for a reliable carpet installer to replace old brown carpet with the new green-style carpeting currently in storage.
- We have started to replace two of the spotted mirrors in the units with new glass and frames.
- We have a new fitness center that will be operated by Kauai Bodywork. It is located in the Aikane room, and includes a new floor, paint, and exercise equipment. We are very proud to announce that we are now offering yoga classes in the fitness center and around the property as well.
- Staff put railings under the walkways in Bali Hai Restaurant to prevent any safety issues, and they painted the new façade and the lower terrace area located by the new fitness center and Simply Sundry store.
- We completed a roof walk on the 9000 & 5000 buildings, which included cleaning the gutters and removing growth from downed trees.
- We are working on gathering a bid to bundle the Internet, phone and cable services into one submersible system that can withstand Kauai’s weather. Also, we are looking for a way to get a WiFi area for the resort.
- We have begun to repair our ventilation units in the attics, and to install noise-deadening devices on those that are a bit loud. We have been cleaning out all the dryer vents as well.
- The night maintenance person is doing energy check audits on unoccupied units to save energy costs.
- The dents in copper caps at the front entrance have been fixed.
- We have installed a fence around the 3000 building to prevent any trespassers from coming onto the property to see the day’s surf conditions. Sorry dudes.
- We have finished the herb garden area located behind the tennis court office, so guests may pick their own fresh herbs for cooking.
- We completed a letter of authorization to have local artists’ music played in our lobby. Two CDs from an employee’s father, who is a popular slack-key guitarist in Hilo, have been secured (thanks Ben in Maintenance!), and we have made calls to the McMaster’s as well (also popular slack-key musicians on Kauai).
- The rooster round-up netted 17 birds; we have talked to the grounds crew about relocating more roosters.
- We completed landscaping of the islands in the pool area, and have completely redone the kiddie pool area.
- Paper bark trees are still being removed in approved locations. We are concentrating on the 1000 & 2000 areas.
- We have added 15 new orchids for our “Adopt-an-Orchid” program.
- We have a new wedding coordinator for the resort, Diana Gardner. Her info is now on our website, and you can reach her at 808-823-0077.
- To accommodate a large number of guests, we have ordered additional pool towels as a backup. The old green ones are discontinued, so we ordered some new ones similar to the Cliffs’ towels, only with green stripes. They are a little bigger and a lot softer. We hope you enjoy them.
- The 2nd quarter picnic for the staff was held at the BBQ area by the tennis shop.
Front Desk & Housekeeping
- We have received the order for a large shipment of linen to start rebuilding stock pars.
- We are in the process of ordering 300-thread-count sheets for the units.
- We have begun to look at better quality amenities for our guests and are doing cost comparisons to keep our vendors honest.
- We continue to ask owners at VOA meetings about turning down the mid-week cleaning.
- Emergency maps have been posted in the units, as well as a reminder to “Please turn the power off when leaving.”
- We have purchased more pillows to make sure we have at least one extra pillow in all the VOA units. We will be taking that number up to two soon.
- We continue to push for owners to take advantage of bonus time, both at the front desk and at VOA meetings.
- We rolled out the new “Adopt-a-Timeshare” program – this program will allow owners to adopt (or give up for adoption) a timeshare interval, and join a group of other interested adopters/adoptees. Please email sarahp@tradingplaces.com for more information.

Happenings:
- Lopito Parong (Housekeeping) & Mavi Conant (Front Desk) were named our Employees of the Quarter. A big Mahalo goes out to them both. Lopito and Mavi were given their awards at our 2nd quarter employee picnic.
- Toby Bento, Hanalei Bay Grounds Supervisor, caught a 237-lb tuna and supplied the entire resort staff and guests with some grade-A Ahi at a discounted rate. Thanks Toby!
- The St. Regis recently held a Jazz Fest – It was fantastic entertainment for all of our guests.
- The latest chicken round-up netted 13 birds and 11 chicks, all of which were relocated to a farm in the mountains.
Recipe of the Month: Lava Flow
In a tall glass, add 1-part rum and 2 oz. of strawberry daiquiri mix. Blend your favorite frozen pina colada mix, and pour in the glass to make the “flow effect.” Garnish with pineapple. Enjoy!

Aloha & Welcome to Hanalei Bay Resort!
In order to improve communication with our valued guests and owners, I would like to start by providing you with a resort update every month. Just as we Hanalei Bay owners have our own independence, it is fitting for our first general manager’s letter to come out in July, just in time for Independence Day. There have been so many exciting things happening at the resort since you, the owners, assumed control of our operation. We would like to send out a big Mahalo to you for giving our staff back all their seniority. The “Aloha Spirit” in my staff is back like it has never been before.
As of October 2009, both boards hired Trading Places International to manage Hanalei Bay Resort. Trading Places currently oversees more than 55,000 timeshare owners at over 30 resort locations in Hawaii, Mexico, South America, and the mainland United States. They provide full-service resort management, timeshare exchange, association administration, and travel agency services.

VOA Rooms
A committee has been created for the renovation of the VOA rooms. We have already shown the units to a few architects and design teams, who will come up with prospective bids for the room remodeling. They will continue to work with us until we have a better idea of where we want to go with the remodel.
Testimonials
A section for guest comments has been added to the Hanalei Bay website. Owners staying at the resort can write testimonials of what is actually happening at Hanalei Bay during their vacation, and leave them at the front desk to be posted on the website. Contact the front desk for more information.

Additional Charges at Check-In*
- All VOA owners and guests are paying a check-in fee of $25 per reservation or per stay if occupying the same unit.
- All VOA owners and guests are paying Hawaii TAT tax.
- All timeshare exchangers are paying a $5/night energy surcharge, TAT tax, and the $25 check-in fee.
- Celebrity rental guests are paying a $25 cleaning fee, $25 check-in fee and $5-per-night energy surcharge.
*These charges occurring are to ensure that the people that are actually using the resort are the ones paying the check-in fees, and that owners are not having it budgeted into maintenance fees, as in the past. This will help provide a true number to work with come budget time.
Staff
- After the management change, the boards approved restoring seniority for all employees.
- Plans are being developed in each department to improve organized tasks, guest services, and safety, and we have been researching ideas to bring our resort back to a higher standard.
- New tools have been purchased for our ground crew to improve their efficiency (they were bringing in tools from home!).
- New uniforms were purchased for all the employees.
- Dan Hurd has been hired as the new maintenance manager.
- We began an “Employee Recognition Program,” where comments from guests and owners provide 50% of the vote for the Employees of the Quarter. Employees of the 1st Quarter are Kaipo Kaleikini (Bellman) and Loring Rowe (Maintenance). Congratulations!

Main Goals
- “No More Band-Aids” and “Moving Forward.”
Renovation
- We have brand new pool furniture for both the upper and lower pools.
- At the lower pool, two new grills have been installed, and the entire outdoor kitchen in the BBQ area has been rebuilt.
- There is a new BBQ area at the Tennis Pro Shop.
Conservation
We are paying the highest energy rate in the states. We encourage all guests to conserve energy. We have changed all the bulbs on the property to a lower wattage to save some costs.
Maintenance
- We have a brand new spa heater, and all plumbing issues in the pool room have been fixed.
- The stairwells in the Banana and Ginger buildings have been repaired.
Housekeeping
- The housekeeping washers and dryers have been repaired.
- Light mid-week cleaning service is back! We re-hired four maids in order to resume our mid-week cleaning.
Landscape
- Coconut and tree trimming on property has been completed (as per our tree trimming schedule).
On-Site Services
- We have purchased four electric golf carts from the Makai golf course.
- There is a new vacation services desk located in the lobby to help you set up all of your exchange needs; call 800-365-7605, ext. 5701.
- New exercise equipment has been purchased for the fitness center! A treadmill, bicycle and an elliptical machine have been installed for your enjoyment. Also, Kauai Bodywork runs yoga and qigong classes daily for $15/person.
- A new wedding events manager was hired to bring more weddings back to HBR.
- Adopt-an-Orchid Program: You buy the orchid – we hang it where you want on the property! So far, we have hung over 50 orchids, making our resort even more beautiful, so imagine what it will look like with 500!!
Around the Resort
- The Makai golf course has re-opened, complete with a new style of grass created in Hawaii.
- The Prince Golf course is working in partnership with HBR to give our owners a special rate of $155, including Taylor Made club rentals. On Thursdays, they offer a 9-hole scramble that our guests can play as well.
- The restaurant at the Prince Club House will be shut down for remodeling. A new Roy’s restaurant will be going into that area.
- There are three movies being filmed in the area. Stars George Clooney and Adam Sandler are among those starring in the films, and the next installment of the Pirates of the Caribbean franchise is being shot here on our North shore. Some of our staff auditioned to be extras, so we will keep you posted if they were chosen.
Future Projects
- A new BBQ area between the Bougainvillea and Hibiscus buildings (so all you 1-BR owners don’t have to worry about your food getting cold by the time you walk back!)
- Installing a thatched roof over the pool bar, and moving Capt. Jon’s grill area underneath.
- A solution for all cable, telephone, and Internet service to rooms.
- Obtaining bids for repair of the maintenance departments roof and carport area.
- Playing local artists’ music at the front desk area for all our guests to enjoy and to be made available for purchase.
- And, of course, aiding in the sale of the restaurants.
